Terms & Conditions
All participants with Indigo Expeditions are subject to the following Terms & Conditions.
General
Any reference made to ‘the participant’ refers to volunteer researchers and/or field staff joining an expedition or conservation project with Indigo Expeditions. These Terms & Conditions, together with our Code of Conduct and Expedition Dossier, form your (‘the participant’) Agreement with us (’Indigo Expeditions’). Indigo Expeditions Ltd (trading as Indigo Expeditions) is a Company Registered in England No: 11290621. ‘The participant’ refers to the signatory on the application form.
Participants must be over 18 years of age, unless accompanied by a parent/responsible adult.
Booking Conditions
Once the participant has submitted their online Application Form, and paid the required Deposit, their place on an expedition and/or conservation project is confirmed, and the participant is subject to the Terms & Conditions and Code of Conduct.
Payment
UK payments: Direct bank transfer, Paypal, or Cheque. Non-UK payments: International bank transfer or Paypal. Subject to fees.
Deposit: £200.00. Non-refundable deposit.
Balance: Your final balance must be received no later the 60 days prior to your departure date.
Indigo Expeditions reserves the right to cancel your place without refund if the balance is not paid within 7 days of the due date.
Late Booking
Any booking received within 60 days prior to departure of the expedition must be paid in full at the time of the booking.
Cancellation Policy
Deposits are fully non-refundable.
Cancellation > 60 days prior to departure: 100%
59 – 40 days: 50% refund.
39 – 14 days: 10% refund.
Less than 14 days: No refund.
No refunds will be issued for unused portions of the expedition.
Surcharges
Indigo Expeditions guarantees no surcharges with the exception of any costs associated with government action, transportation costs, fuel, fluctuations in currency, or other reasons beyond our control. Indigo Expeditions will absorb an amount equivalent to 2% of the total cost before passing on the increase to the participant.
Major Change
In exceptional circumstances, Indigo Expeditions reserves the right to change the details of the expedition and/or conservation project, including dates and other services described in the Expedition Dossier.

Cancellation
Indigo Expeditions will make every effort to avoid cancelling your expedition. In the unlikely event an expedition does not have the minimum number of Participants, we reserve the right to cancel the expedition, and you will be able to either join another expedition or receive a full refund.
Indigo Expeditions is not responsible for any costs or losses incurred as a result of cancellation, or cancellation due to acts of war, terrorism, or natural disaster, and recommends you take out adequate travel insurance at the time of booking.
Travel and Medical Insurance
Due to the nature of Indigo Expeditions’s work it is essential for your safety and wellbeing that you take out adequate travel and medical insurance.
The policy should cover personal accident and sickness, repatriation, accidental loss of luggage and money, loss of deposit, loss of flights (both international and domestic), payment or cancellation fees and curtailment expenses.
Included in the cost
The following items are included in the expedition or conservation project cost:
- Ground transport from meeting point to and from the project site;
- Full board accommodation and meals as per itinerary;
- Naturalist guiding and supervision.
Excluded from the cost
The following items are excluded from the expedition or conservation project cost.
- International and domestic flights;
- Ground transportation to the meeting point;
- Accommodation & food costs outside of expedition dates; in the case of conservation projects, any costs incurred while away from the project;
- Travel & Medical Insurance;
- Visa and ESTA costs, any local taxes;
- Alcoholic beverages, snack, sundries & items of a personal nature;
- Gratuities for guides & project staff.
Independent Suppliers
Although Indigo Expeditions is not responsible for any failures on the part of our suppliers, we will endeavor to rectify any issues promptly should they arise to ensure the smooth running of the expedition.
With regard to any excursions or services arranged independently by the participant, Indigo Expeditions will not be held responsible for any loss, or personal injury incurred.
Participant Responsibility
Participants must ensure they have the necessary documentation, passport, and/or VISA required for the expedition, and that they are in good health. Indigo Expeditions provides pre-expedition information in the Expedition Dossier which you are required to read.
Participants acknowledge that the expeditions and conservation projects organised by Indigo Expeditions have an element of personal risk and are adventurous in nature.
Our Promise
We promise to take due care and attention to ensure all activities on our expeditions and conservation projects are fully risk assessed, and that comprehensive health and safety training is provided.
We take our duty of care very seriously and expect Participants to follow our guidelines in the interests of their own safety and wellbeing.
Indigo Expeditions is not responsible for any trauma (be that physical, mental, emotional or otherwise) that participants may experience during or after the expedition.
Compliance
Participants must comply with the laws & customs of the host country. Our relationships with our partners are crucial to the success of our work. As representatives of Indigo Expeditions, you will be asked to leave the expedition for disrespecting local laws and customs.
We strive to minimise disturbance to wildlife & their habitats. We expect all participants and field staff to be sensitive to the needs of animals and respect their space. Disturbance includes unnecessary handling, teasing, damaging habitat, or any action that causes stress to an animal.
Complaints
Any complaint should be communicated to Indigo Expeditions as soon as it arises. During an expedition or conservation project, please communicate with the Indigo representative (Project Staff) in the first instance. In addition communication can be made by email info@explorewithindigo.com.
We believe there is always a win-win solution and we strive for all of our participants to have an amazing time, so please give us the opportunity to rectify any problems as soon as possible.
